This Privacy Policy describes how Dover Labs (“Dover Labs,” “we,” “our,” or “us”) collects, uses, and protects personal information when you visit our marketing site at www.doverlabs.io or use the FieldManager Pro application at turfy.doverlabs.io (collectively, the “Services”).
SMS summary. Phone numbers used for FieldManager Pro SMS task notifications are collected only when an authorized administrator or manager within your organization opts you in. Those numbers are used solely to send work-related task notifications. We do not sell, rent, or share phone numbers or SMS opt-in data with third parties for marketing purposes, and mobile opt-in data is not shared with third parties. 1. Information We Collect
1.1 Information you or your organization provide
- Account information — name, email address, and Auth0 authentication identifiers for administrators, managers, and logged-in crew members.
- Crew information — display name, email, phone number, role, and hourly rate entered by an authorized administrator or manager within your organization.
- Operational content — organizations, locations, maintenance schedules, tasks, projects, budgets, labor entries, inventory, equipment, field condition logs, and notes that you enter into FieldManager Pro.
- Support and feedback — information you provide when you contact us or submit in-app feedback.
1.2 Information collected automatically
- Authentication and session data — provided by our identity provider (Auth0) to sign you in and keep your session active.
- Log and diagnostic data — IP address, browser type, pages viewed, and timestamps, used to secure, monitor, and improve the Services.
- Product analytics and feature-flag data — anonymous product usage signals used to evaluate features and rollouts.
1.3 SMS program data
- Phone numbers are added only by an authorized administrator or manager within a crew member’s own organization, through a separate, unchecked-by-default SMS opt-in checkbox in FieldManager Pro.
- We record SMS opt-in and opt-out status, the message content sent, and delivery status returned by our SMS provider (Infobip).
- Phone numbers are never collected from marketing forms, public websites, or third-party lists for this SMS program.
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Services, including sending SMS task notifications to opted-in crew members.
- Authenticate users, enforce roles and permissions, and secure your account and organization data.
- Generate cost reports, schedules, and daily task summaries for your organization.
- Respond to support requests and communicate with you about the Services.
- Detect, investigate, and prevent fraud, abuse, and security incidents.
- Comply with legal obligations and enforce our Terms & Conditions.
3. How We Share Information
We share information only as described below. We do not sell personal information, and we do not share mobile opt-in information or phone numbers with third parties for marketing purposes.
- Within your organization. Administrators, managers, and (where permitted) crew members within your organization can see data entered in FieldManager Pro, subject to role-based permissions.
- Service providers. We use trusted vendors to operate the Services, including Auth0 (authentication), CockroachDB Labs (database hosting), DigitalOcean (application hosting), Infobip (SMS delivery), and LaunchDarkly (feature flags and product analytics). These vendors process information on our behalf under contracts that require appropriate safeguards.
- Legal and safety. We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of Dover Labs, our customers, or the public.
- Business transfers. If Dover Labs is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.
4. Your Choices and Rights
- SMS opt-out. You may opt out at any time by replying STOP to any message from the FieldManager Pro SMS program, by asking your administrator or manager to disable SMS for your profile, or by emailing doverlabscode@gmail.com.
- Account data. You can update most of your information directly in FieldManager Pro, or by asking your organization’s administrator to do so.
- Access, correction, and deletion. You may request access to, correction of, or deletion of personal information we hold about you by emailing doverlabscode@gmail.com. We may need to verify your identity and may retain certain information as required by law or for legitimate business purposes.
- Cookies. You can manage cookies through your browser settings. Disabling some cookies may impact your ability to sign in or use parts of the Services.
5. Data Retention
We retain personal information for as long as needed to provide the Services, comply with our legal obligations, resolve disputes, and enforce our agreements. Organization data entered into FieldManager Pro is retained for the life of the organization’s account and then deleted or anonymized within a reasonable period after account closure, except where longer retention is required by law.
6. Security
We use technical and organizational measures designed to protect personal information, including HTTPS, JWT-based authentication, role-based access controls, encrypted storage at our database provider, and the principle of least privilege for internal access. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Children’s Privacy
The Services are intended for use by businesses and their authorized personnel. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us and we will delete it.
8. International Users
Dover Labs is based in the United States, and the Services are operated from the United States. If you access the Services from outside the U.S., please be aware that information may be transferred to, stored, and processed in the U.S., where our servers and service providers are located.
9. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the “Last updated” date at the top of this page. Material changes will be communicated through the Services or by email where appropriate. Continued use of the Services after an update constitutes acceptance of the updated Privacy Policy.
